Privacy notice

This notice explains what personal data fxed collects, why we need it, how long we keep it and what control you have. It covers customers, trade professionals and company accounts.

1. Who is the controller

2. Data we collect

If you are a customer:

  • Name, email address, phone number and password (or Google/Apple sign-in identifier).
  • Service address, postcode, and access notes such as pets, alarms or parking.
  • Approximate or precise device location, if you allow it, to place you on the map.
  • Job details, photos you upload, and messages exchanged with a pro or support.
  • Payment records and receipts (card details are held by Stripe, not by us).
  • Reviews and ratings you leave.

If you are a trade professional:

  • Identity documents, photo ID and driving licence.
  • Trade qualifications, Gas Safe / NICEIC registrations, insurance certificates and expiry dates.
  • Bank details for payouts and records of amounts paid.
  • Live location while you are online, so customers can track you to the door.
  • Job history, acceptance rate, earnings, ratings and safety check-ins.
  • Device push tokens and notification preferences.

Everyone: technical data such as IP address, device and browser type, and pages used.

3. Why we use it, and our lawful basis

  • Contract: creating your account, dispatching a pro, tracking arrival, taking payment, paying pros, issuing receipts and statements.
  • Legitimate interests: fraud prevention, platform safety, service quality, dispute resolution, and aggregated analytics to decide where to launch next. We balance these against your rights.
  • Legal obligation: tax and accounting records, right-to-work and licensing checks, and responding to lawful requests.
  • Consent: precise device location, marketing messages, and non-essential cookies. You can withdraw consent at any time.
  • Vital interests: acting on an SOS alert or a missed lone-worker safety check-in.

Identity and qualification documents are handled as a background check necessary for the contract and for safety; we do not use them for any other purpose.

4. Who we share it with

We share the minimum needed. Customers see a pro's first name, photo, trade, rating and live position; pros see the job address and access notes only once they accept. Phone contact is masked where supported.

We use the service providers listed in our subprocessor list. We also share data with our accountants, insurers and legal advisers, and with authorities where the law requires. We do not sell your data.

5. International transfers

Some providers process data outside the UK. Where they do, transfers rely on UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses, with additional safeguards where needed.

6. How long we keep it

  • Account and job records: [TO CONFIRM: retention period, e.g. 6 years after last activity] to meet tax and dispute requirements.
  • Payment and payout records: 6 years plus the current tax year.

  • Waitlist postcodes and contact details: until we launch in the area or you ask us to remove them.

7. Your rights

You can ask for a copy of your data, correct it, delete it, restrict or object to processing, withdraw consent, or receive it in a portable format. Email hello@fxed.uk and we will respond within one month.

If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.

8. Security and automated decisions

Access is restricted by role, data is encrypted in transit and at rest, and staff access to customer records is logged. Dispatch uses automated ranking based on distance, trade, availability and rating; it does not have legal effects for you, and you can ask a human to review any dispatch or account decision.

9. Children

fxed is not for under-18s and we do not knowingly collect their data.
